Individual Groups and Events Reservations Coordinator

In this unique role, you will work closely with both our Cluster Reservations team at voco The Hague and the Meetings & Events department at Crowne Plaza Amsterdam – South.

Your day to day: 

• Assist in planning, organizing, and executing various meetings and events. 

  
  

• Help maintain relationships with clients and following up in current/past business. 

  
  

• Attend regular team meetings to discuss ongoing and upcoming events, providing updates on current business and any challenges encountered. 

  
  

• Invoicing and post-event evaluations to ensure client satisfaction. 

  
  

• Collaborate with various departments, including banqueting and front desk to guarantee successful event execution with BEO creations. 

  
  

• Stay updated on industry trends and best practices in event management. 

  
  

• Participate in brainstorming sessions to develop innovative ideas for events and promotions. 

  
  

• Collaborate with team members to analyze event feedback, helping to identify areas for improvement in service delivery. 

  
  

• Assist in the preparation of meeting agendas and take detailed minutes, ensuring all action items are documented and followed up on in a timely manner. 

  
  

• Prepares letters of confirmation of individual bookings. 

  
  

• Communicates reservation’s information to the front desk. 

  
  

• Processes cancellations and modifications and promptly relays this information to the front desk. 

  
  

• Understands the hotel’s policy on guaranteed reservations and no-shows. 

  
  

• Processes advance deposits on reservations. 

  
  

• Tracks future room availabilities based on reservations. 

  
  

• Helps develop room revenue and occupancy forecasts. 

  
  

• Assists in preregistration activities when appropriate. 

  
  

• Communication with the guests via email and phone on a timely manner. 

  
  

• Handles daily correspondence. Respond to inquiries and make reservations as needed. 

  
  

• Ensuring that the systems have timely, complete and reliable information. 

  
  

• Ensure that all data are carefully and correctly entered in the system. 

  
  

• Collect and track commercial information. 

  
  

• Provide information to the organization; providing various (ad-hoc) reports, answering questions, etc. 

  
  

What we need from you: 

• Excellent communication skills in English and preferably also in Dutch. Another language is always a plus. 

  
  

• You have a positive, can-do attitude and enjoy working with people 

  
  

• Good communication and organizational skills 

  
  

• Experience with Microsoft Office (Word, Excel, PowerPoint); experience with Opera is a plus 

  
  

• Numerical insight and analytical skills  

  
  

• Able to prioritize  

  
  

• Well-groomed appearance
